Terms (B2B)

These Terms apply to inquiries, quotations, and bookings made with Yakushima DMC (Yakushima Adventure Journey Co., Ltd.). Specific conditions may be stated in quotations, invoices, or written communications for each booking.

1. Scope of services

  • We provide local arrangements such as accommodation coordination, rental car handover, gear logistics, and on-island operational support.
  • Items not included (unless explicitly stated): flights/ferry tickets, meals, and guided tours (optional).

2. Quotations and confirmation

  • Quotations are valid for the period stated on the quotation (or a reasonable period if not stated).
  • A booking is confirmed only after we send written confirmation (email/WhatsApp) and required payment is completed.

3. Payment terms

  • For the first transaction: 100% prepayment is required within 3 business days from the invoice issue date (unless otherwise stated).
  • Terms for repeat bookings may be reviewed based on transaction history.
  • Bank fees (if any) are borne by the payer unless otherwise stated.

4. Changes and cancellations

  • Change/cancellation policies depend on suppliers (accommodation/vehicle/others) and seasonality; we will clarify on quotation.
  • If a cancellation fee is incurred by suppliers, it will be charged accordingly.

5. Weather and force majeure

  • Yakushima conditions can change rapidly. For safety, services may be modified, postponed, or suspended due to weather warnings, sea/river conditions, road restrictions, or force majeure.
  • We will propose safer alternatives when possible. Refunds/fees follow supplier rules and the booking’s confirmed conditions.

6. Gear lending rules

  • Gear availability is slot-based. Next slot can be reserved after return and inspection, depending on turnaround.
  • Gear lending may be suspended under unsafe conditions.
  • Damage, loss, or late return may be charged based on the confirmed terms.

7. Liability

  • We are not liable for delays/cancellations caused by carriers, weather, natural disasters, government restrictions, or supplier-side issues beyond our control.
  • Our liability, if any, is limited to the amount paid for the relevant service, except where prohibited by law.

8. Communications and records

For operational clarity, we may request a single WhatsApp thread per booking. Written records (email/WhatsApp) may be used as confirmation of agreed terms.

9. Governing law and jurisdiction

These Terms are governed by the laws of Japan. Any disputes shall be submitted to the competent court of jurisdiction in Japan.
